SCHEDULING OF STUDENTS

 

  1. Students are responsible for arranging their schedules and reporting rotation hours to the program director.  Students will be responsible for arranging their schedules with individual preceptors, based on the needs of the individual intern and the scheduling needs of the facility.
  2. Schedules will be discussed with the program director prior to the beginning of each rotation to assure appropriateness of hours.  Every effort will be made to accommodate intern’s individual scheduling needs as long as these needs do not interfere with the quality of the learning experiences and the needs of the facility.  If a unique learning opportunity arises during a rotation, the intern will be allowed to participate if the intern obtains prior approval from the preceptor and Internship Director.  Hours in the rotation must be resumed as soon as possible and total required hours for that rotation must be completed.
  3. Intern schedules will be submitted by Saturday of each week (see attached sheet for sample hour entry pages):

a.       Go to the Intern website and click on the clock icon at the top of the page.  Enter full  name and password.  Click on “Hours” tab.

b.       The total number of hours completed in each rotation along with total required  hours will be listed.  Only those rotations with hours completed in them will appear.

c.       Click on “Add New Hours”.  Click on appropriate rotation from the drop down list.  On the next line enter the total hours for that rotation for the week.  Choose the appropriate week from the drop down list.  Add comments including the location of the rotation and days.  Click on “update”.  Repeat for each rotation in which hours were completed.

d.       If an entry needs to be edited or to see a list of all entries for a specific rotation, click on the rotation on the main hours page.  A list of entries will appear.  To edit an entry, click on that entry, make the necessary changes, then click on “Update”.  To delete an entry, click on it and then click on “Delete this item”

e.       Interns will only be able to edit entries until the end of the month following the entry.  After that, changes can only be made through the Internship director.

  1. All intern hours will be sent to the Internship Director on a monthly basis.  Both the Intern and Internship Director will have access to information about hours entered.
  1. Intern and Internship Director will receive automatic e-mail notification when the total number of hours in a rotation have been completed.  This will act as a reminder that assignments are due within 2 weeks for that rotation.
  2. Internship director will check with site preceptors as appropriate to assure accuracy of hours.
  3. All required hours in each rotation must be completed prior to graduation from the program.
  4. Intern log sheets and reported hours will be kept on file in the individual intern’s file.
